Job Title: Human Resources Assistant Nonexempt/233 days
Reports to: Chief Human Resources Officer

Primary Purpose:
Provide administrative and clerical support to Human Resources staff for efficient departmental operation; provide direct support to the Human Resources Coordinators, organize and manage work activities and provide project management support.
Qualifications:
Education:
High school diploma or equivalent
Associate Degree or 48 hours college credit, preferred
Experience:
Minimum of 2 years clerical experience, preferably in Human Resources
Special Knowledge/Skills:
Proficient skills in Word, and Excel; Google Suite
Excellent interpersonal, communication, and organizational skills
Ability to work accurately with close attention to detail
Ability to work independently and work in a team-oriented environment
Knowledge of district organization and operations, as required for this position
Major Responsibilities and Duties:
Data Management
Process criminal background checks as directed & maintain DPS clearinghouse database; unsubscribing to terminated employees on a regular basis.
Coordinate and review the fingerprinting background process for all contractors and vendors working with our district.
Monitor the Volunteer Background database and communicate to schools the approved volunteers.
Collect and enter employee information into database for new hires, and complete related forms.
Coordinate printing of identification badges for all new hires and issue replacement badges for existing auxiliary and paraprofessional employees.
Organize and maintain electronic and paper files and records, most of which are confidential in nature. This includes maintenance of all personnel files and related records.
Assist with the scanning of paper personnel files into the electronic personnel file management system SoftDocs.
Responsible for filing Human Resources paperwork as appropriate.
Distribute birthday cards to auxiliary employees on a monthly basis
Reception & Phones
Receive incoming calls, field inquiries, answer general questions and/or direct to appropriate staff
Respond to inquiries of employees, visitors, and the public for the purpose of providing information and/or direction as may be required.
Maintain schedule of appointments as directed
Employment
Coordinate fingerprinting process for Auxiliary and Paraprofessional applicants.
Complete verifications of employment for district employees as needed.
Enroll and train employees on the electronic timekeeping system and be the point of contact for further training.
Provide support to applicants utilizing the district’s employment application software.
Assist the Human Resources Coordinators with new hire orientation meetings, including preparation of materials.
